Arnold & Porter has an opening for a Lateral Program Assistant in the Washington office to support the firmwide Lateral Program, which oversees the full-cycle recruiting process for all lateral partner and counsel candidates and the integration of all partner and counsel hires.
Responsibilities include but are not limited to: • Assisting with market research. • Maintaining the viRecruit database which includes: entering candidates into the database, sending self-identification emails to candidates as needed and closing applicant files. • Coordinating and preparing candidate files for weekly Lateral Committee meetings. • Maintaining the Lateral Partner and Counsel Candidate Report showing the status of active candidates and prospects. • Preparing materials for meetings with search firms, including data on historical hires and pending candidates. • Assisting with the orientation schedules for new lateral partners and counsel. • Scheduling quarterly lateral integration review process. • Assisting the Director and Manager in preparing the lateral program budget. • Drafting monthly variance reports for the lateral budget. • Maintaining search firm agreements with recruiters in both U.S. and non-U.S. markets, consistent with firm and market practices. • Processing placement fees according to the relevant search firm agreement for new lateral hires. • Assist with scheduling interviews (telephone, in person, videoconference) which may include requesting conference rooms, sending calendar invitations, notifying the lobby of each office, requesting VC technology as needed, updating viRecruit with interview schedules, updating recruiting documents and following up for interviewer evaluations. • Assist with coordinating travel arrangements for incoming candidates. • Processing travel expenses.
Qualifications: • Four-year college degree. • Administrative support experience in professional services, corporate or law firm environment a plus. • Proficient in a range of computer software including Microsoft Office (Word, Excel and PowerPoint). Experience working with applicant tracking systems is a plus. • Excellent administrative and organizational skills. • Strong project management skills required. Attention to detail is paramount. • Excellent communication skills, both oral and written. • Ability to handle a number of responsibilities simultaneously. • Ability to manage time and prioritize workload effectively. • Reliability, dependability, and strong motivation to respond to requests quickly. • Flexibility to work additional hours, as necessary including attending Talent Development related events. • Ability to maintain confidentiality and ability to provide excellent client service.
