Description: Growing Immigration Practice in White Plains seeks an administrative assistant to provide case management and tracking for two attorneys and two paralegals. The position includes maintaining the organization of files, tracking deadlines and notices, preparing regular correspondence, working closely with attorneys and paralegals to gather and organize supporting documentation, and case administration.
 
Responsibilities:

• Assist with nonimmigrant and immigrant visa filings, organizing exhibits
• Assists paralegals with preparation and filing of immigration petitions
• Writes, proofreads, sends, files and manages correspondence, memos, pleadings, contracts, forms, indices and other related documents
• Calendars all relevant deadlines
• Receives, reads and routes incoming mail
• Keeps cases organized by establishing and organizing files; monitoring calendars; meeting deadlines; documenting actions; inputting information into file database and case management software; confirming case status with attorney
• Keeps clients informed by maintaining contact; communicating case progress
• Enter conflict information into the system for the purpose of running conflict checks for new clients
• Assist with opening new matters and maintaining files

Qualifications:

• Minimum 3+ years of legal support experience required; experience in business immigration a plus
• Paralegal or Bachelor’s degree preferred
• Experience with INSZoom or other immigration case management system required
• Must be highly organized, detail-oriented and able to manage multiple high-volume priorities in a fast-paced environment
• Strong skills with MS Office and expertise with computer assisted legal resources required
• Maintains high standards of performance
• Quick learner who is comfortable working in a team environment
• Exhibits conscientiousness, dedication, self-discipline, and a sense of responsibility
• Must have a professional, cooperative, positive and flexible attitude
• Ability to work with diverse personalities within various levels of the organization
• Must exhibit well-developed interpersonal and client relation skills
• Exhibits strong oral and written communications skills
• Thorough command of the English language including excellent spelling, grammar, punctuation, form and style
• Ability to compose professional correspondence
• Military experience a plus
